Brief
Safeguarding of the pupils is of the highest priority, College required a system for various departments to ensure external providers conformed to the Colleges standards.
Collection of paperwork should be centralised, secure, an consistent to ensure the correct documents are collected and approved.
Discrepancies should be flagged, with the CLC sponsor and the ability to chase contractors if documents are missing.
Centralised access lists should be provided to Security / Porters to ensure only those with clear DBS are given access to the students.
Built on the Laravel framework and served using AWS EC2 instances, the project provides CLC Sponsors a central portal to view and approve contractors for the organisation.
New companies can be entered into the portal, at which point company contacts are invited to create an account and start the compliance process.
CLC Sponsors are asked a number of questions when setting up a new account, depending on answers the company is presented with only the relevant documents and forms. For example those with direct access un-supervised with students require more stringent DBS checks, or companies working in areas with asbestos require access to the asbestos register.
Documents are then presented to the CLC sponsor for sign-off, Risk assessment, Method statements, Insurance documents are all presented to the correct internal departments for approval.
The organisation then receive notification they can access site, staff details are available to security and porter teams when signing staff onto site.
The system automates the chase and approval cycle annually to ensure documents remain up-to date.
