Organisation of Wellbeing & Enrichment activities for the academic year requires large amounts of administration to ensure each activity is staffed, located, provisioned correctly so that events can run smoothly.
Brief
Administration of Enrichment events and activities had become a mammoth internal task, the existing processes revolved around various Excel spreadsheets and many hours processing data.
The brief was to streamline the process, allow management of events and activities via an online portal saving the distribution of Excel files, automatically flagging issues around clashes, missing resources, or un-staffed events.
The system took the underpinning process used in the Excel files and reimagined them using the Laravel Framework.
Allowing Students & Staff to login and see details of activities, making internal communication around events significantly easier. Users can subscribe to have the events added to their Outlook calendar, via an iCal subscription generated by the system.
Upcoming activity details are shown on the College digital displays for those who have not subscribed, and printable views are also generated for noticeboards without digital signage.
The system generates reports for internal departments providing details in advance to administrators that require access.
Administrators are guided through adding activities to events, and the system will prompt if clashes are found, or a member of staff has been over provisioned.
Staff are provided with an overview for the academic year of events they are staffing, and can request leave and can be rewarded time in lieu for additional time they may have accrued.
